Store-Level Inventory Audits"},"content":{"rendered":"\n<p>One of the perpetual challenges facing retail brands is knowing whether inventory is actually on the shelf, or if it just looks like it\u2019s there. If there are discrepancies and items are actually missing when they\u2019re reported as \u201cin stock,&#8221; the costs to suppliers and retailers can be devastating.<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Is Phantom Inventory Impacting Your Sales?<\/h1>\n\n\n\n<p><a href=\"https:\/\/www.rmservicing.com\/articles\/how-to-avoid-and-reduce-phantom-inventory\/\">Phantom\ninventory<\/a> is exactly what it sounds like \u2013 inventory that appears to be in\nstock at a retail location but actually is not. Only the ghost of it remains.\nJust kidding. But that doesn\u2019t make the consequences of missing or out-of-stock\ninventory any less scary.<\/p>\n\n\n\n<p>Phantom inventory exists two ways:<\/p>\n\n\n\n<ol><li>Misplaced and is not where it should be: on the shelf, display, or properly accounted for in the backroom <br><\/li><li>Or it\u2019s out-of-stock at that retail location entirely<\/li><\/ol>\n\n\n\n<p>Now, these are normal challenges that any retail supplier\nfaces. But it becomes \u201cphantom inventory\u201d when those missing items appear as\n\u201cin-stock\u201d within the retailer\u2019s inventory system.<\/p>\n\n\n\n<p>When this happens, brands think everything is fine at the store level. You check your store-level counts, perform your analyses, and create your reports. Everything looks good and you sleep easy that night.<\/p>\n\n\n\n<p>But then\u2026<\/p>\n\n\n\n<p>A few report cycles later and you start noticing a few\ninconsistencies like:<\/p>\n\n\n\n<ol><li>Your inventory turnover rate is decreasing<\/li><li>You see inventory is available but there are no\ncorresponding sales<\/li><li>Unusual spikes and dips after manual inventory\nallocations<\/li><\/ol>\n\n\n\n<p>All of these signs should cause the hair on the back of your\nneck to stand up. <\/p>\n\n\n\n<h1 class=\"wp-block-heading\">The Cost of Phantom Inventory<\/h1>\n\n\n\n<p>Already, your head may be spinning with the implications of\nphantom inventory. Complications to supply chain? Check. Inaccurate sales\nforecasting? Absolutely. And it all leads back to one big problem: missed\nsales, which means lower profits. <\/p>\n\n\n\n<p>But as with any business decision, you need to decide if the\ncost to fix the problem is less than the cost of the problem itself. So, let\u2019s\ntake a look at the financial consequences facing both suppliers and retailers\nwhen phantom inventory occurs.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Cost to Suppliers<\/h2>\n\n\n\n<p>One missed sale is a bummer. But it\u2019s a drop in the bucket.\nMaybe $7 are lost? If that was all we\u2019re talking about, it wouldn\u2019t be a\nproblem. Unfortunately, one lost sale almost always leads to others.<\/p>\n\n\n\n<p>When items are out of stock, you\u2019re missing out on\nmaximizing the sales as it is affecting replenishment, resulting in inherent\nongoing missed sales. <\/p>\n\n\n\n<p>Not only that, but when customers can\u2019t find the item\nthey\u2019re looking for, the problem spirals, fast. Check out these scary consumer\nstats on <a href=\"https:\/\/streetspotr.com\/2017\/08\/14\/out-of-stock\/\">out-of-stock\n(OOS)<\/a> costs:<\/p>\n\n\n\n<ul><li>91% of consumers will not engage with a business\nafter they\u2019ve had one bad experience, like an out-of-stock item.<\/li><li>70% of customers will switch to a competitor\nproduct if their desired item isn\u2019t on the shelf.<\/li><li>If it happens a second time, they\u2019ll skip that\nitem or go to another store entirely.<\/li><\/ul>\n\n\n\n<p><strong>The risk of phantom inventory isn\u2019t a missed sale or two.\nIt\u2019s losing that customer\u2019s brand loyalty forever.<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Cost to Retailers<\/h2>\n\n\n\n<p>Retailers need to be worried about phantom inventory, too.\nWhile it falls on suppliers to work with retailers to conduct inventory counts,\nhelping them realize the true cost of OOS can highlight the severity of the\nissue.<\/p>\n\n\n\n<p>According to <a href=\"https:\/\/hbr.org\/2004\/05\/stock-outs-cause-walkouts\">Harvard Business\nReview<\/a>, when consumers are faced with an \u201cout of stock\u201d instance:<\/p>\n\n\n\n<ul><li>24 \u2013 43% of consumers will leave the store\naltogether and take their business elsewhere<\/li><li>Retailers can lose up to 50% of intended\npurchases when customers can\u2019t find their desired product<\/li><li>These losses can add up to 4% of total revenue\nfor retailer, so for a billion-dollar retailer, that could mean more than $40\nmillion in lost sales<\/li><\/ul>\n\n\n\n<p>In other words, it\u2019s financially worth it for retailers to\npay attention to phantom inventory too. With the rapid increase of eCommerce,\nthis is especially pressing because online retailers are never truly out of\nstock, making the shopping experience more enjoyable for consumers.<\/p>\n\n\n\n<p><strong>But before you get too nervous, there are easy solutions\nwhen your inventory has ghosted you.<\/strong><\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Reasons for Incorrect Inventory Counts<\/h1>\n\n\n\n<p>One of the first things to do is to identify why your\ninventory keeps slipping away. The leading culprit of phantom inventory is\nincorrect inventory counts. This can be caused by a handful of reasons:<\/p>\n\n\n\n<ul><li>Theft<\/li><li>Receiving Errors<\/li><li>Backstocking Errors<\/li><li>Incorrect Recording of a Sale<\/li><li>Inaccurate or Infrequent Inventory Audits (this\nis the big one)<\/li><li>Misplaced Inventory<\/li><\/ul>\n\n\n\n<p>If you\u2019re experiencing phantom inventory, it\u2019s likely there are a few of these happening at the store level. <\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Solving Phantom Inventory<\/h1>\n\n\n\n<p>So how do you go about solving a phantom inventory problem?\nCall the ghostbuster crew? Of course not. Though, that would be awesome.<\/p>\n\n\n\n<p>Instead, you need to tighten up your store-level inventory\ncounting systems. There are a few ways you can do this. It\u2019s up to you to\ndecide which would work best for your brand, given your available time and team\nmembers.<\/p>\n\n\n\n<ol><li><strong>Work Directly with the Retailer<\/strong> \u2013 do this regardless of the other steps you take. Check in with them to understand their inventory counts. How often do they perform them? Are they aware of the problems you\u2019re experiencing? Know that different retailers have different policies and your experience may vary even between locations within the same retail brand.<br><\/li><li><strong>Perform Your Own Inventory Counts<\/strong> \u2013 if you have the time and labor available, you can physically go into stores and perform your own inventory counts. This is a great option if you have one challenging location and want to do your own check.<br><\/li><li><strong>Partner with a Retail Merchandiser<\/strong> \u2013 you can engage a 3<sup>rd<\/sup> party expert service, like RMS, who can go in and perform inventory audits on your behalf and give you the level of insight you need.
